Opt-in and consent to communication: how does it work ?🔍

Opt-in refers to the process by which fitness club clients give their explicit consent to receive specific communications or information. This authorisation is given in the context of marketing by e-mail, SMS or post. As well as being a respectful practice that promotes transparency and legal compliance, it helps to build engaged and receptive audiences.

How do clients indicate that they agree to receive communications from the club?

In the context of automated or one-off communications from Smartmessaging, the opt-in system means that club clients must voluntarily choose to receive messages from the club.

Online, when creating their account or from the back office, clients indicate which types of communication they agree to receive.

Automate validation following a sale

Once a sale has been validated and the prospect has become a member, it is possible to automatically validate informative, partner and commercial optins on member files via the two main channels: SMS and email.

How do clients personalise their agreement?

Opt-in types allow the club to personalise its communications according to members' individual preferences. This helps to strengthen the relationship with clients while respecting their choices and ensuring compliance with current regulations.

 

Communication channels: Email, post or SMS

The opt-in can be defined according to the means of communication used by the club.

Type of distribution: commercial, legal, informative or partner?

Commercial Opt-in: this is the consent of individuals to receive commercial offers, promotions, and information about the fitness club's products or services.

Example: Members who wish to be informed of special promotions, discounts on memberships, or new club facilities.

Members can unsubscribe from this type of campaign...

On each marketing/commercial campaign, an unsubscribe or Stop SMS link will be visible so that members can unsubscribe from the list of members who have accepted the Commercial opt-in.

Useful information

It is possible to activate the Commercial opt-in by default after a sale. 

Legal Opt-in: This refers to the consent required to receive communications related to legal matters, such as updates to terms and conditions, policy changes, or other legal information.
Example: Members who agree to receive notifications about changes to club rules, terms of use, or privacy policies.

Special features of the opt-in Legal

In Xplor Gym, the Legal opt-in will always be pre-checked and cannot be unchecked by the member.


Informative Opt-in: this is consent to receive general information, newsletters, or updates on fitness club events, courses, and activities.
Example: Members who wish to be informed of new courses, special events, or health and fitness advice from the club.

Useful information

It is possible to activate the Informative opt-in by default after a sale.

Partner Opt-in: this concerns consent to receive information on partnerships, collaborations or special offers from commercial partners or companies affiliated with the fitness club.
Example: Members who wish to be informed of partnerships with sportswear brands, nutrition shops or other wellness-related companies.

It is possible to activate the Parner optins by defaut after a sale.

How to automate opt-in validation after a sale (available soon))

Attention

Activating this feature will not validate an opt-in on existing clients in the database. Its effects will only be applied to clients who become active after the feature has been activated.

How does the opt-in system work with Smartmessaging?

Smartmessaging, Xplor Gym's communication module, will send only when the client's opt-in corresponds to the type of opt-in defined in the campaign (distribution channel and type of distribution).

The communication channel must match what the client has authorised.

Whether it's a one-off campaign or an automated SMS or email campaign, it's easy. It all depends on the medium you choose when you create your campaign.

For automated campaigns...

Each campaign has a predefined distribution type (commercial, legal, informative or partner), which can be modified. When the campaign is created, the distribution type is always indicated below the campaign description and can be modified using the drop-down list.

For one-off campaigns...

The type of distribution for one-off campaigns is chosen on a case-by-case basis when the campaign is created.

Please note - Special cases

There are a few exceptions:

  • If Legal is selected, only clients with member status will receive the communication.
  • If Informative is selected, only clients with member status will receive the communication.
  • If Marketing is selected, the communication will be sent to the target clients, regardless of status, as long as they have authorised marketing communications.
What if the client changes their mind?

You can always change your choices from the back office, on your member file in the Information menu or online from the member area.

Prospects' consent to authorise communications

Prospects can be asked to sign a marketing consent to allow them to accept or reject commercial and partner opt-ins. This feature needs to be activated by our teams, so please contact us if you need help. Once the feature has been activated, here's how the signature stage works...

Go to the Communications tab in the member file:

Then click on Sign marketing consent. The consent form is then displayed on the connected tablet. The prospect can then decide whether or not to accept the commercial and partner communications.

Whether they accept or not, they will have to sign their Agreement or Refusal.

At the end of this process, the marketing authorisations will be updated according to what the prospect has chosen. They will be able to come back to it at a later date using the Update marketing consent button, which will allow them to view the conditions again and sign their Agreement or Refusal.

💡If the prospect is transferred to another club in the network, they will also have to sign a consent again if the transfer club uses this feature.
