We're continuing to improve your software with new features to make managing your club easier. 

 

For October, we've focused on making it easier to manage cancellations. As well as making it possible to anonymise inactive member data in bulk to comply with data protection requirements.

 🚀 The new must-have 🚀

⭐ Simplified cancellation management

Now, when you cancel a membership, you’ll be able to choose between two end-date options: renewal date or open date. This makes managing membership cancellations simpler.

 

Renewal date option:

The ‘renewal date’ option lets you set the cancellation date at the end of the monthly membership cycle.

This option reduces admin work – no pro rata calculations or refunds to manage. We recommend this option for hassle-free management. Simply choose one of the dates from the list.

 

Open date option

The existing ‘open date’ option remains available should you want greater flexibility.

Select a specific cancellation date. Then choose whether to settle the current invoice or to adjust it pro rata to the days used. This is the ideal option for adjusting charges according to a member’s actual usage.

And, if your members use online cancellation, the system will automatically suggest the renewal date as the cancellation date. Easier for them and for you.

⭐ADDACS invalid instruction

We've made changes to the impact that ADDACS invalid instructions can have on memberships.

An ADDACS invalid instruction is received from a member's bank when a Direct Debit Mandate has been cancelled or invalidated before their next collection date.

You can now choose from these 3 options:

  1. The membership is not cancelled and remains active: This is the default option
  2. The membership is cancelled immediately: Once the rejection mandate information is available within Xplor Gym, the membership will be automatically cancelled
  3. The membership is cancelled at the end of the commitment period: Once the membership commitment period/contract period is reached, the membership will be automatically cancelled

If you'd prefer to have option 2 or 3 applied for your business, please request this by contacting the Xplor Gym support team.

 

 ⭐ Other updates ⭐

⭐Notice period now accounted for during cancellation process

When you enter a cancellation request date, the default date displayed for the effective cancellation date now takes the notice period into account. This means you can automatically calculate the end date of a membership, without having to think about it too much.

No unlocking fee if rejection fee present at time of closure

Has a member account been closed with unpaid rejection fees? It’s now possible to avoid charging the member cancellation fees as well as rejection fees if the member returns to the club.

Bulk anonymisation of inactive member data

Thanks to the mass anonymisation feature, it's easier than ever to comply with the GDPR regulations. Use the feature to anonymise a group of inactive members at the click of a button. A great way to clean up your database while ensuring data security.

Adding a QR code from the Entry Pass tab

You can now generate a QR code for your members directly from their profile. If you usually sell QR codes to members to allocate them, you’ll no longer need to do this.
