⭐ New features & enhancements⭐
⭐Fastest finger first waiting list
This Bookings rights configuration lets you decide when to stop automatically moving members from the waiting list onto a class. So, preventing members being caught out when they’re added to a class just before it starts.
Now, to help maximise participation in your classes, we’ve added an automatic Smart Messaging campaign that lets you contact all members on the waiting list to let them know a space is available.
It’s first come, first served. So, make sure your Smart Messaging content makes this clear to avoid disappointment.
Setting up the new automatic Smart Messaging campaign will ensure a message or notification is sent if a space becomes available after the automatic booking rule timeframe.
⭐Introducing sales pipelines
Sales pipelines provide a one stop shop to manage prospect and ex-member sales reminders, alongside current member retention reminders.
Designed as a complete CRM and lead management tool, Sales Pipelines will help you structure sales and retention activities, while making sure both are well tracked and efficiently managed.
These new pipelines are built to support a wide range of use cases:
- Nurturing prospects through to booking an appointment or tour
- Engaging existing members
- Encouraging former members to return for a trial session
- And much more
Existing member reminders will be migrated across to the new Sales Pipelines. This is the perfect opportunity for you to review, refresh and create new pipelines to meet your current operational needs.

⭐Automatic suspension pricing
Until now, when members requested to freeze / suspend their membership for a period of time, pricing during the suspension period had to be set manually on a case-by-case basis.
You can now automate suspension pricing to:
- Standardise your pricing policy for freezes
- Reduce errors
- And save time for your team
Once the suspension period starts, calculations are applied automatically, with no manual action required. And are clearly displayed for both your staff and your member.

⭐Communication preferences now more clearly prompted when adding a member record
When adding a member record in back office, the final step will now prompt you to update the communication preferences. So, making it simpler to have members confirm their marketing preferences.
⭐Accounting export retention update
Please inform your accountants or finance teams that accounting journals from 2023 and earlier will no longer be available from 1 April 2026.
This change applies only to accounting journals.
Invoices, credit notes, and the data available for export in the Finance and Members & Sales sections will remain accessible for a much longer period.
To improve Xplor Gym’s performance and stability, accounting journals that are two full years or older will be removed from the export database.

⭐ Instant promotion on a second product
Previously, a consumer needed to complete the purchase of a product before that promotion could be applied to a second product.
Now, the consumer can just add both products to the same basket and the promotion will be applied straight away.
For example, if a certain membership provides a 20% discount to a 10 session Personal Training bolt-on, then adding both to the basket will apply the discount straight away.
This lets you:
- Apply discounts or goodwill gestures automatically
- Create consistent offers across memberships, packs, and bolt-ons
- And encourage additional purchases

⭐ More detailed export for upcoming Direct Debit collections
The Upcoming Direct Debit export has been enhanced to give you the same level of visibility for card payments as for Direct Debit mandates.
In the detailed Upcoming Direct Debit export, you will now find a range of new data points to help you:
- Identify potential issues
- Anticipate payment problems
- And better manage upcoming collections
⭐ Bike number displayed on last-minute tablet (Resamaps)
New feature for your group cycling & RPM classes: bike numbers are now displayed on the last-minute tablet.
If you’re using Resamaps in Xplor Gym, your members can simply scan their badge or QR code just before the class to see the bike number assigned to them at registration.
⭐ Exact SMS count for one-off campaigns
You’ll now see the exact number of SMS messages that will be sent for your one-off campaigns before you make the final decision to send the campaign.
The use of merge fields can mean that long names can result in 2 SMS being sent as there are too many characters to fit into 1.
Previously, we showed an estimate of the SMS count and now we’ll show the exact number.
