How to carry out a cash closing?

The cash closing is the operation confirming and ending permanently a checkout cycle.
Legally, this operation must be carried out on a daily basis.

First of all

Close your checkout only when you are 100% sure there isn’t any error. When a
checkout is closed, the data are frozen in such a way that you can no longer amend or cancel
any payment.

In the Financial actions menu, in the Cash and closing submenu, select Make a
deposit into a safe deposit box. A window pops up. Provide information from the
first window, then confirm.

Please provide information configuring the scope of the operation.

You may choose to make a deposit including all means of payment or you may choose to
deposit only the credit card payments, for example.

CAUTION

If you carry out a cash closing according to only one means of payment, you must repeat the
operation for the other means of payment.

mceclip3.png If you wish to enter a deposit that should have been carried out sooner, you may choose a
prior date by ticking the box “Now”.

Example: today is the 16 th . You haven’t carried out the closing of the 14th yet. So, you must
amend the date to be able to carry out the cash closing of the 14th. Then you’ll be able to
carry out the following cash closings.

CAUTION

If you carry out your cash closings on a daily basis, you won’t have to amend any date.

Please provide here the amount of the float available for the next checkout cycle. If you
provide “0”, it means the float is empty.
The float is composed of cash remaining in the checkout in order to give change to the
clients for example.
You may also provide the detailed number of notes and coins in the float.
Please confirm! A new window pops up.

You created a bag containing all the payments recorded in the application. The new window
informs you of the bag number (105-1). You can view the amount of cash, credit card
payments, payments by cheque and vouchers, as well as the number of payments by credit
card, cheques and vouchers.
If you wish, you may, by ticking the box “Counting the cash currently present in the bag”
confirm the amount of cash in the bag. This step may also be carried out later.
Please confirm. The deposit into a safe deposit box is complete. However, it is only the first
step in cash closing in Resamania.

By clicking on the Safe deposit box, you can view the deposit you just made.

Please click to access the payment validation.

You can now view your deposit into the safe deposit box in detail.

In every tab, you may view every payment in detail, according to the means of payment
(members, amounts).
The theoretical amount corresponds to what was entered in Resamania.
The real amount is the one provided to Resamania after making sure there isn’t any input
error.

As long as amounts haven’t been confirmed, a gap remains.
By ticking this box, you confirm the amount indicated theoretically.

coche.JPGTO CONFIRM CASH AND BANK CARD PAYMENTS

These are the means of payment which do not require to be viewed in detail.
The data-collection ticket shows the total amount of bank card payments collected
throughout the day.
Here, cash may be counted as a total.
You may simply tick the boxes of the main screen to confirm the amount is correct.

If needed, you can simply click on the tabs corresponding to the credit card payments or
cash payments to view them in detail.

picto.JPG*Cash payments are the only means of payments that can still be confirmed when there is a
gap. This field enables to provide the real amount of cash present in the safe deposit box.

coche.JPGTO CONFIRM CHEQUES AND VOUCHERS

These are the means of payment that need to be viewed in detail. There is no total amount,
you must check the element one by one.

Checking cheques one by one is the best way to make sure to have properly provided all
cheque and bank numbers. In this way, the slips can be printed directly from Resamania
and no further input will be needed.

To check cheques and vouchers one by one from the safe deposit box interface, please go to
the Means of payment.

You can check all the cheques one by one. When a cheque is correct, please tick the box:

coche.JPGWHEN NOTICING AN ERROR IN YOUR PAYMENTS

By clicking on the line corresponding to the spotted error, you can still amend or cancel the
payment.

Here you can see an input error: the payment was entered as a bank card payment whereas
it was a cash payment. You must simply click on the line and amend the payment. It will be
moved to the right category.

CAUTION

When cancelling a payment, if it is allocated to an invoice, the latter will be labelled as in
debt and will have to be rectified.
