The cash inventory consists in copying the number of coins and notes counted in the
checkout at a specific moment. In Xplor Gym, the cash inventory is practicable from the
Financial action menu, then Funds and closing.
This operation isn’t compulsory like cash closing is, but it is still highly recommended to do
it on a regular basis!

WHY? |
The cash inventory enables to spot desynchronisation between reality and theory in the
checkout cycle. You may carry out as many cash inventories as you wish, there is no limit. It
is highly recommended to do it during a team rotation or at scheduled times.

HOW? |

STEP 1: GO TO “FUNDS AND CLOSING” |
Once connected to your Xplor Gym instance, you are in MANAGEMENT. Go
to FINANCIAL ACTION, then to Funds and closing.
STEP 2: ADD A CASH INVENTORY
PROVIDE THE REAL AMOUNT IN YOUR CHECKOUT |
Select Add a cash inventory. A new window pops up. You see a theoretical amount
of £10 the application calculated that you should have 10 pounds in your checkout when
doing the cash inventory.
If the real amount matches the theoretical amount, please enter 10.
Please leave a comment telling why there is a discrepancy, when there is.
Please confirm. The cash inventory is now complete.
GOOD TO KNOW
The cash inventory does not produce any cash flow, but it remains interesting as far as
monitoring is concerned.
YOU CAN PROVIDE DETAILED AMOUNTS DURING THE INVENTORY
Select Add a cash inventory. A window pops up. Select Details, you can
now provide the exact amount of cash.
You have two £5 notes.
Option of leaving a comment on why there is a discrepancy, if there is.
Confirm. The inventory is now complete.
STEP 3: FIND THE CASH INVENTORY IN THE TIMELINE
In the Funds and closing tab, you can see dots corresponding to past inventories on the
inventory line.
By clicking on this line, you can access the information you previously provided when
creating the inventory.
You can now do a cash inventory. It is highly recommended to do it on a daily basis or
during team rotation so as not to lose any piece of information on potential discrepancies.
