How to make a goodwill gesture?

From the member file, you can make goodwill gestures. The existing goodwill gestures are: the credit note, the change in the validity duration, the gift, the addition or substraction of unit(s), the increase or decrease in the pricing or the engagement period.

Go to the member file concerned. Click on 'Member actions'. You can now see a menu. Then, you need to click on 'Action on member' and on 'Add goodwill gesture'.

To select the goodwill gesture to apply, just choose the suitable one in the list.

  • The credit note enables to reduce the amount of the invoice. Be careful, just like the creation of a credit note from the financial tab, do not forget to use it on the invoice too, this is not directly suggested with the creation of a goodwill gesture. 
  • Changing the period of validity enables to change a membership or a pack duration.
  • The gift enables to specify that you have offered a gift to a client.
  • Adding or removing units enables to increase or reduce the number of pack units.
  • Extending/shortening the engagement period enables to extend or shorten the engagement duration of a membership.
  • Tariff increase/reduction enables to increase or reduce a membership price.

  • To create the credit note, please select 'credit note' in the goodwill gesture list.
  • Next, inform about the invoice impacted by the credit note. 
  • Finally, enter the amount of the discount. 
  • Once the goodwill gesture is finalised (steps 4 and 5 in this article should not be forgotten), the credit note can be used on an invoice, used in a future purchase or be refunded. It can be seen in the financial tab in the member file. 

_tape.pngTO CHANGE A PERIOD OF VALIDITY ...

  • To change a period of validity of fixed-term membership or a multi-visit pass, please select 'Modification of the period of validity' in the list. 
  • Inform about the membership or the multi-visit pass concerned by the change in its period of validity. 
  • Enter its new period of validity. 
  • Click on Submit

_tape.pngTO MAKE A GIFT ...

  • To say that the client is given a gift by the club, select 'Gift'. 
  • Next, in the list you can configure from Settings > Goodwill gestures, select the gift that the client receives. 
  • After that, you can choose to add a blocking alert or not in the client's member file. If the client has a blocking alert, s/he will have to come to the club desk to get the gift. If you do not create a blocking alert, a non-blocking alert will be created and a message will pop up on the entry screen notifying that the client can receive a gift.
  • Click on Submit.

_tape.pngTO ADD OR REMOVE A UNIT ...

  • To inform about the additional units that the member gets or about the units s/he loses, please select 'Addition or removal of units'. 
  • Next, say whether it is an addition or a removal of units. 
  • The scrolling list informs about the number of units contained in the client's multi-visit pass. This field enables to change the number of units contained in the multi-visit pass (using the arrows). 
  • Also enter the lifetime of the multi-visit pass, which can be changed the same way, with the scrolling list. 
  • Click on Submit

Usage limits

- It is not possible to add a unit that the client does not have already. Example: Add a unit of the type 'Aqua' if the client has units of the type 'Classical'.

- It is not possible to reduce the number of units in a former pack.

- It is possible to change the duration of the pack if it has not been valid for less than three months.

  • To increase or reduce the engagement period of a membership, please select 'Increase/Reduce the commitment'. 
  • Next, select the new end date OR the increased or reduced period of the engagement. 
  • The new engagement date is shown. If everything fits what you want, you can click on 'Submit'. 

_tape.pngTO INCREASE OR REDUCE THE TARIFF...

  • To increase or reduce the tariff of a membership, please select 'Tariff Increase/Reduction'. 
  • Next, select the membership concerned. Resamania informs about the date when you can change the tariff. 
  • Then, just add the scheduled steps of the membership using the fields provided for each due date. 
  • Finally, click on 'Submit'.

Useful info

  • For technical reasons, it is possible to change the tariff of the next twelve due dates only.
  • Past deadlines may be modified, but are clearly indicated when the schedule is modified.

STEP_ARTICLE_CLIENT.JPGSTEP 4: INFORM THE MEMBER ABOUT THE GOODWILL GESTURE RECEIVED

Thanks to the predefined message templates in your back office, you can send an SMS or an email to the member informing her/him about the goodwill gesture received. 

You can also ignore this step if you do not wish to communicate with your member about the goodwill gesture.

Here, you can write the reason, the subject and a note related to the goodwill gesture. Please click on 'Submit' and a message tells you that the goodwill gesture has duly been made
