How to create a Package in your catalogue?

The Package enables the club to sell a given number of sessions to a member, for her/him to be able to enter the club or attend individual activity. For example, you can generate a ten-session Package to attend the weights room or a 10-session Package to attend yoga classes. This article details how to create a session Package from the catalogue.

ATTENTION

To generate a Package, you must first create types of sessions. They will grant access and booking rights to the member who purchased them. You must create them in collaboration with your Xplor Gym interlocutor as preliminary work. Then you can generate a Package.

STEP 1: GO TO THE CATALOGUE

Once connected to Xplor Gym, you are in the MANAGEMENT menu. Click on the drop-down menu to go to the Settings, and then the Catalogue. There you will find all products and services once they are saved, among them is the session Package.

STEP 2: CREATE A NEW PACKAGE

Go to the Package tab, then click on + NEW PACKAGE.

STEP 3: PROVIDE THE MAIN INFORMATION CONCERNING THE PACKAGE

 The name of the Package has to be different from any other product name from the catalogue.

The description will be viewable on the membership contract. If you need to make it viewable on the invoice, tell your onboarding or support manager.

CAUTION

The accounting code shouldn’t be provided if the chart of accounts hasn’t yet been configured in the application. If you wish to implement the chart of accounts in the application, please make a request to your Xplor Gym interlocutor.

  • Specify how many sessions the member will get when purchasing the Package. Here this is a ten-session Package.
  • The type of session is determined during implementation with your Xplor Gym interlocutor. It enables to know precisely to what the member is granted access (booking, access control).

You may decide here whether or not the client will become a member or if s/he remains a prospect. It may be a good idea if a Package is used as a test session for example.

STEP 4: PROVIDE INFORMATION CONCERNING THE PRICE

GIF_SINGLE_RATE_1.gifClick on the Price tab in Package, then click on Add an offer. Provide the type of price, together with its amount and the corresponding VAT rate. 

 

How to highlight your product in the sales funnel?

If you tick the star, you can highlight your product in the sales funnel and it will come first in its product category when you make the sale:

In the sales funnel, the offer is highlighted like this:

By clicking on the three dots, you may define the price by providing various options. You may also remove the payment offer if you wish to.

Price options

Add booking fees: they are automatically added when adding the product to the cart. They can be discounted during the sale. 

Add a contract template: you can add one template for each rate. If the template has been added to the product, the contract template of the rate prevails. 

Add seller’s instructions: during the sale, the seller will be provided instructions needing to be confirmed, so as to be able to add the product to the cart.

Add a purchase limit: the client can’t purchase more specimens of a product than the indicated number.

Price Restrictions

Restrict by club: you can decide to only sell to one or several specific clubs. 

Restrict by user role: for example, only users being administrators will be allowed to sell this rate. 

Restrict by channel: you can make a rate available only from the club reception, kiosk or member space. 

Restrict by members’ keywords: you can decide not to sell a membership to people designated by a specific keyword.

Restrict by period of validity: during the sale, the price will only be viewable in the catalogue during a given time period (date 1 to date 2).

Restrict by start day: the membership price will only be sold if starting during a given time period indicated when added this option. 

Restrict by sale day: the price will only be viewable during the time period indicated when adding this option.

Delete the offer: if the price offer no longer exists, you may delete it.

STEP 5: SET CONDITIONS OF USE FOR YOUR PACKAGE

A period of validity is automatically indicated on the Package so as to make it valid. By default, it is a 12-month period. You can still amend it or add conditions of use.

Click on Conditions of use, you can amend the period of validity with the arrows and the numbered field.

You may add a period of use from the three dots in the conditions of use. What distinguishes a period of validity from a period of use is that the latter makes the Package viewable during the sale.

From the three dots, you can choose to restrict the Package according to the club. In this case, the  Package will only be valid in the club you’ll have chosen. 

Once the Package is configured according to your will, click on Save. Then the Package will be viewable in your catalogue.
