How to configure an access control zone ?

Configuring access control is an essential step when starting up on Xplor Gym. This step is generally carried out with the Onboarding manager, but it may be necessary to go back over it in the case of a new membership offering specific times or access to a specific area.

Important

It is necessary to have configured the catalogue, defined the appropriate keywords (memberships) and types of sessions (packs). As a reminder, the memberhip keywords and session types enable to give booking and access rights to the member who has subscribed to the membership or the corresponding pack.

DRAPEAU.JPGSTEP 1: GO TO THE AREA TO ACCESS CONTROL MENU

Once connected, you go to Settings of the software, then Access control. Then click on the area to configure.

What is a zone?

An area is associated with a crossing point (tripod, door and other equipment) managed with access control).

DRAPEAU.JPGSTEP 2: ADD ZONE OPENING TIMES.

We add an opening period to the zone and indicate the opening hours as wide as possible.

It is compulsory to put a period start date, but it is not compulsory to put a period end date (if it does not exist, it will consider the timetable valid until the period is modified/changed).

DRAPEAU.JPGSTEP 2 bis: IF NEEDED, CONFIGURE EXCEPTIONAL OPENING BEAMS

Exceptional opening ranges allow to answer to two situations :

coche.JPGThe zone must exceptionally open at a time when it is normally closed.

coche.JPGThe zone must exceptionally close at a time when it is normally open.

To define the exceptional timetable, go to the exceptional "opening hours" tab. Then click on the relevant day in the calendar and define the closing/opening and the times, if necessary, with the help of the niche.

DRAPEAU.JPGSTEP 3: KEYWORDS GIVING ACCESS TO THE AREA ARE DETERMINED

Here, we fill in the keywords that give access to the zone as well as the timetables.

coche.JPGWe So we go to the "Accepted memberships" tab of the area.

coche.JPG We click on "Add a membership" to fill in a new keyword fill in a new keyword that gives access to the area.

coche.JPGWe select the keyword that gives access to the area from the drop-down list provided.

coche.JPGThen select the standard access and add the timetables by clicking on the three small dots "Add a time restriction". These are the times at which the person will be able to access the zone by passing through the crossing point associated with it.

mceclip3.png

coche.JPGSi If necessary, restrictions can also be added to the area. By for example, if a membership gives access to only three passages in the area every week.

mceclip4.png

Then the number of passages allowed (if necessary) per week is entered for example.

DRAPEAU.JPGSTEP 4: DETERMINE THE TYPES OF UNIT GIVING ACCESS TO THE ZONE.

The club also offers a pack that give access to the area, it is necessary to configure them from the "Units accepted" tab.

mceclip8.png

This is the same principle as for step 3, except that it is necessary to define a unit cost if the member is debited at the crossing point:

mceclip7.png

In the same way as for memberships, it is also possible to determine an entry restriction in addition to the number of units owned by the member.

DRAPEAU.JPG STEP 5: DEFINE THE ENTRY RULES

Restrictions are defined first if necessary;

coche.JPGRespecting zones

If it is activated, the member must have badged in the parent zone. The parent zone is the zone that comes before the actual zone in the path. The time allowed to members to go from area to another must then be defined here.

mceclip10.png

coche.JPGNo-return

If it is activated, it will not be possible for the member to swipe their pass a second time to the reader a second time during the time defined below the checkbox.

mceclip11.png

coche.JPGMulti-entry

If enabled, it is possible for the member to swipe their pass several times over the reader. The time defined corresponds to the time the member has to swipe a second time. The member will not be charged a unit a second time if this setting is activated if this setting is activated.

WARNING

Enabling anti-return and multi-pass at the same time results in a conflict information conflict and is not logical.

mceclip13.png

The Flow priorities consists in defining, when the member has more than one session type, whether the member will be debited for its unit whose validity date is the closest or if a unit type will be debited first. In the second case, it is sufficient to order the unit types by order of debit priority.

Click on Registration.

The access control is well configured. It is recommended to test entries with a test Entry Pass to see if everything is working properly.
