How to create a Bolt-On in the catalogue?

In addition to his/her membership, the member rents a locker and a towel every month and has access to an impedance meter. A Bolt On may be the best solution to bill these extra services. Indeed, the Bolt On charges any extra amount not included in the membership.

Once connected to XPLOR GYM, click on the drop-down menu, then on Settings and Catalogue. Here you will find all products and services once the latter are saved.

DRAPEAU.JPGSTEP 2: PROVIDE THE MAIN INFORMATION CONCERNING THE BOLT ON

Click on + New Bolt On in blue characters at the top left-hand corner of the screen. A new Bolt On window pops up.

You may now provide all the information related to the Bolt On:

The name of the Bolt On is rather free. Choose as you will. 

What importance does the name bear?

The name will be on both the invoice and membership contract. It can be managed otherwise regarding the online sale.

The description will be viewable on the membership contract. If you need to make it viewable on the invoice, tell your onboarding or support manager.

If you sell online, you may distinguish the membership name in the back office from the name in the member file.

The key word is essential to the application. It is found in the catalogue, as well as in other modules such as booking rights, access control and communication. In fact, the keyword grants access and booking rights to the member.

Implementing three keywords when configuring a membership is the best possible way:

- one keyword corresponding to booking. With it, a membership granting access to yoga classes can be distinguished from a membership granting access to Pilates classes. Or else, a membership granting access to three activities a week can be distinguished from another granting unlimited access. 

- one keyword corresponding to access control, which enables to define the client's entry rights 

- one corresponding to communication, which serves when filtering on emails and SMS recipients.

If your chart of accounts has not been configured yet in the application (please ask your Xplor Gym interlocutor), do not fill this field. Once the membership bolt on is saved, a code will automatically be issued. It will enable to retrieve the accounting line of the future chart of accounts, if needed.

CAUTION

In short, if no accounting configuration has yet been implemented, leave this field out. If there is an accounting configuration, follow the instructions by Xplor Gym to complete it.

 

mceclip1.png CONTRACT TEMPLATE

Once the membership bolt on contract template(s) has (have) been configured with your Xplor Gym interlocutor, you will be able to find it (them) here and configure it (them) according to various memberships. It (They) will be available and completed after the bolt -on is sold  to the client.

GOOD TO KNOW

You can generate one contract template gathering the membership AND the Bolt On.

DRAPEAU.JPGSTEP 3: CHOOSE THE PRICE(S) OF THE BOLT ON

From the catalogue and the creation of a bolt on, you can see and manage the different invoicing modes of bolt ons. To do so, go to the 'Pricing' tab of the bolt on. Here you can either see and change the different prices already defined or add some by clicking on '+Add an offer'.

Now, what does each invoicing mode stand for?

  • Single payment

In this case, the bolt on will be paid in full and once for all in the client's life. No matter the membership type, you can choose the single payment to let the client pay at the moment of the sale. The configuration is rather simple, just fill in the name of the offer, its price and the VAT like any shop product.

  • Monthly billing and monthly payment 

The bolt on will follow the scheduled invoicing and prorate or not of the membership which will be invoiced monthly.

That is to say, if the bolt on is sold with a prorated membership, the price of the first month of the bolt on will also be prorated. If you wish, you can also implement prorated levels on this type of price.

To configure this price, just provide the name of the offer, the monthly payment including all taxes, the VAT and the prorated level if there is one.

  • Monthly billing and annual payment 

The bolt on will be paid once a year and linked to a membership which will be invoiced monthly.

As for the previous prices, choose the name of the offer, the price including all taxes and the VAT.

Regarding the price, there are two possibilities:

mceclip7.pngOne strict month is defined (all members will have the Direct Debit the same month) On définit un mois strict (tous les adhérents auront le prélèvement le même mois).

mceclip6.pngOne month is defined according to the membership month of the member.

  • Weekly billing and weekly direct debits 

This price must be only used if you offer weekly direct debits / every four weeks for your memberships. To know more about it, see this article.

Here, provide the name of the offer, the weekly price including VAT and the VAT rate.

The bolt on will then be debited every week, like the membership it is linked to. If the membership is debited every 4 weeks, the bolt on follows the same direct debit mode as the membership.

  • Weekly billing and annual payment 

As for monthly memberships, for memberships debited weekly or every four weeks, you can invoice weekly.

Just choose the last type of price given in the list and provide the name of the offer, the price including all taxes, the VAT rate and like the case of monthly billing, choose a week number in the year when the bolt on will be debited OR a number of weeks after the bolt on start when the bolt on will be debited every year.

Good to know

Like for the other shop products, several prices can be possible for the same bolt on.

If the bolt on is only accessible with a specific membership, you can provide the name of that membership in Restrictions of options.

This restriction can be useful when a membership must be sold with a Bolt On. This can be configured in the membership in the catalogue.
