« Unallocate a payment » : how ?

CAUTION

Please use this feature carefully. “Unallocating a payment” is different from cancelling a
payment. The difference is essential. If you’ve unallocated a payment from an invoice, then
the latter will be in debt and the payment will remain. It won’t be allocated to any invoice
and thus will generate an overpayment.

This article details how to unallocate a payment from an invoice, and in which cases you
may or may not use this feature.

A_SAVOIR.JPGHOW TO UNALLOCATE A PAYMENT?

The button “Detach the payment from the invoice” is in the window of the invoice in the
Financial tab.

On the payment to unallocate, then click on the pictogram mceclip2.pngand confirm.

A_SAVOIR.JPGWHAT RESULTS ?

As explained above, the payment will remain as an overpayment, as it won’t be allocated to
any invoice. It can still be used as means of payment for a next sale or another invoice. To
learn more, please read this article.

The invoice will be in debt as unpaid, for the payment has been unallocated from it.

A_SAVOIR.JPGWHEN TO USE THIS FEATURE?

> An error relating a sale when the payment has already been cashed.

The payment has been cashed but the wrong product was sold. In such a case, you must
unallocated the payment, cancel the first invoice, then make a sale again and pay it with the
overpayment.

If a difference remains, you still can refund the overpayment or add an extra payment to pay
the rest.

> We used the wrong plan and realised it several months later.

For the accounts to remain pristine, “unallocating a payment” may be useful. You
unallocate the first month’s payments by direct debit regarding the membership 1, you
cancel invoices relating the membership 1. You sell the membership 2 on the right start
date, you use the automatic renewal as many times as necessary, you reallocate payments
by direct debit relating invoices issued by manual automatic renewal. To learn more about
the manual automatic renewal, please read this article.
