How to implement entry tokens?

The member must be able to book a class, their unit will be debited when registering to the class. Their access must be granted uneventfully. Entry tokens is the feature answering this need. 

Good to know - Configure nothing in the zone

The entry token grants access to the zone in any case. Thus you should not configure tags and/or types of units concerned by a token when you configure the zone. If you set the entry tokens on packages or memberships already configured in the access control, it is important to remove key words and types of units concerned at the level of the zone.

In the Settings menu, please go to the Access control and Entry rights, then in the Entry tokens tab.

Please provide the information regarding the entry token:

- its name 

- activities related to the token

- studios related to the token

- memberships and packages regarding the token

Then, select “configure the zone(s)”.

Next define the detailed configuration of the entry token in 'Access'.

  • The zone concerned by the access token is indicated. The zones have been configured beforehand, when the access control system was set up.
  • 1- Define the terminals that allow members to pass through the zone using their token before and after the activity begins.
  • 2- This determines whether the token is a group class token. This box is important if you are using the maximum attendance feature, otherwise it doesn't matter whether the box is ticked or not.
  • 3- Finally, if the token is to be used to pass over the defined terminals as many times as required, tick the ‘Unlimited use of token during defined terminals’ box.

👨‍👧Should accompanying adults be able to collect minors without being prevented from doing so by the period of validity of the token?

Let's say a parent drops their child off at an activity. They pass through access control once with their child, using the access token. They then come back later to collect their child using the same means of access (badge or QR).

In this case, there are two things to do in the token configuration:

  • limit the time slot for the entry token beyond the duration of the class: for example, entry possible 10 minutes before the class and up to 10 minutes after the class.
  • tick the box ‘’Unlimited use of the token during defined terminals’' so that the parent can enter the club to collect the minor after the class, without being blocked.

Next, click on Save.

Configuring the entry token is now complete.
