Bolt-Ons: How does it work?

Once logged in to Xplor Gym, click on the drop-down menu and then on Settings and Catalogue .

Here there are all the products and services saved.

DRAPEAU.JPGSTEP 2 - FILL IN THE MAIN DETAILS OF THE BOLT-ON

To add a Bolt-On, click on + New Bolt-On in the top left-hand corner. A window opens to fill in the main information.

1️⃣ Name of the Bolt-On

The name is free and can be chosen according to the needs of the club.

Why is it important? 

  • It will appear on the bill and in the Membership contract.
  • It can be set up differently for online sales.

2️⃣ Description of the Bolt-On 

The description has no impact on the Membership configuration. It is used for internal information, unless you ask your Xplor Gym contact to display it on the invoice.

In online sales, you can tell the difference between the name of the Membership displayed in the Back office and the one visible in the Member Area.


3️⃣ Keyword 

Keywords are essential for managing Bookings, Access and Communication rights.

Three points to consider:

  1. Bookings → Define access to certain activities (yoga, pilates, etc.).
  2. Access Control → Specify the areas/services accessible to the member.
  3. Communication → Segment e-mail and SMS dispatch.

4️⃣ Product code

If the chart of accounts is not set, leave this field blank. The code will be generated automatically when the Bolt-On is saved.

📌If a chart of accounts has already been defined,  follow Xplor Gym's instructions.


5️⃣ Contract template 

If your club uses contracts for Membership Bolt-Ons, select them here.

📌 Tip: A single contract can include the Membership and the Bolt-On.

  • Bolt-On paid for in cash, choose single payment.

The member will pay £30 in one go when the Bolt-On is sold, and will benefit from it for the entire duration of their Membership.

  • Bolt-On paid by direct debit, choose monthly or weekly payment.

Useful info

If you decide to sell this Bolt-On to someone who has a credit note, the amount of the Bolt-On to be paid on sale will be automatically calculated.

If the Bolt-On is only accessible via a specific Membership, you can enter the name of this Membership under Restricting Bolt-Ons.

🔎Is this a compulsory Bolt-On as part of a Membership?

When a member takes Classic Membership 12, they must take the Protein Bar Bolt-On, for example. This setting is implemented from the Membership Bolt-Ons tab of the Membership.

💡 How promotional periods and bolt-on start dates work on weekly memberships

Case 1 – Bolt-on starting on the same date as Membership 

  • The bolt-on follows the same billing cycle as the membership.
  • The promotional period applies for the specified duration (e.g. 4 weeks free).
  • No proration should be applied.

Case 2 – Bolt-on starting during Membership period 

  • When a bolt-on is added to a membership whose weekly billing has already started, the configured promotional period (e.g. free or discounted weeks) begins immediately on the date the bolt-on is added. Any proration is applied only at the end of the promotional period — never at the time of addition.
  • Once this step is completed, the following instalments are billed at the bolt-on’s standard price.

Application rules

✅ If the setting “the proration amount for the first week is equal to 0” is enabled:
one free week is added at the end of the promotional period before returning to the standard rate.

❌ If the setting is not enabled:
a proration is applied to the first instalment following the promotional period, based on the number of days remaining before the next membership billing date.

Details according to the billing method

  • Weekly membership: the proration applies to the remaining days of the week until the next instalment.
    Example: bolt-on added on a Tuesday → 6 payable days out of 7 (6/7 of the standard rate).
  • Membership billed every 4 weeks: the proration applies only to the last partial week before the next 4-week billing cycle, not to the entire cycle.
    Example: bolt-on added one day after the billing date → 6 billed days out of 7 for the first week following the promotional period.
