How to create a blocking alert?

An alert can be assigned manually or automatically to a member for various reasons: a missing money order, a member in debt, personal belongings forgotten at the club, etc. Several types of alert exist to deal with these different situations. They will be visible on the member file and on the access screen when the member enters the associated access control zone. This article explains how to create the alert that corresponds to these situations.

Set automatic alerts🔁

It is of course possible to create an alert manually from a member file, as described later in this article. However, it is also possible to automate the creation of blocking alerts, depending on the member's situation. These alerts are then generated automatically by Xplor Gym, generally during the night, according to the criteria defined beforehand.

To activate this system, simply contact the Xplor Gym team to set up automated blocking alerts. Once set up, these alerts are triggered as soon as a member is in a predefined situation.

Here are some examples of situations that could give rise to an automated blocking alert:

  • Expired medical certificate

  • Missing mandate

  • Outstanding debt

  • Membership expiring soon

  • Missing photo

  • Guarantee not provided

  • Guarantee to be returned

Finally, a direct debit rejection can also trigger a blocking alert, provided that the rejection scenarios are configured in the software.

Set manual alerts🧑‍💻

Display the member file > Member actions > Action on Member and click on Add an alert. Enter the reason for the alert and whether it is blocking or not.

An internal message can be added if required.

Warning

A non-blocking alert will simply be indicated at the access control level, whereas a blocking alert will prevent the member from passing through.

Communicate with members about their alerts📨

Two automatic campaigns can be set up to better inform members affected by blocking alerts:

  • Reminder of the blocking date for an alert: This campaign warns members a few days before an alert becomes blocking, to give them time to act. The number of days before blocking is configurable.

  • Information on adding a blocking alert: This campaign immediately informs members when a blocking alert is added to their file, with a personalised message.

Get an overview of alerts🔍
From the Management menu, you can access the list of Clients with an Alert. You can filter according to the reason for the alert and whether or not it is blocked:alerte bloquante UK 1.png
